Switching to Booktago

Move your salon to Booktago — with your clients, inventory and price list

Changing systems doesn’t mean losing your data or a week of retyping. Booktago’s smart import loads your client base, products for your inventory and services for your price list from any program — in minutes, with no IT help and no duplicates.

How it works — 4 steps

1

Export your data

From your current system to an XLSX or CSV file: clients, products, price list — each separately, in whatever column layout you have.

2

Upload the file

Booktago recognizes the columns itself: phones, e-mails, dates, EAN codes, prices, VAT rates, durations — each marked "detected automatically".

3

Confirm the mapping

If needed, fix a single column with one dropdown. The mapping is saved as a template for next time.

4

Preview and import

You first see the numbers, sample rows and how VAT rates map to receipt letters, then you click Import. At the end you get a full report, including skipped rows and the reason.

What carries over

Clients

  • First and last name, phone numbers, e-mail, gender.
  • Birthday and name-day dates, address, notes.
  • Card number, balance, loyalty points.
  • Marketing consents — in line with GDPR.
  • Client groups — created automatically.

Inventory

  • Name, EAN code, SKU, brand, category.
  • Net purchase price and gross sale price.
  • VAT rate and receipt letter — checked before saving.
  • Stock level and minimum stock — the stock lands straight in stock movements.
  • Type: product for sale or material for treatments.

Service price list

  • Name, category, description.
  • Duration in any format: "45 min", "1h 30", "0:45".
  • Price and VAT rate.
  • Online booking availability, calendar colour.

Products and services share one file template to download — but your own column layout works for every import too.

VersumFrom Versum additionally: active vouchers and invitations — via a separate import from the "Sold vouchers" report (redeemable with the same numbers as your physical Versum vouchers).
3,000 products in Excel? That’s one import.Owners of chains and salon shops most often stay in their old system for one reason — the inventory. In Booktago the product table from your previous program comes in in one go, with categories, stock levels and VAT rates mapped to receipt letters. Importing the same file again doesn’t create duplicates — it updates.
What we don’t transfer: visit history, payments, sales history and stock movement history, and product photos stay in your old system. Stock levels come in as an opening stock dated on the day of import. We say it upfront — no fine print.

Which system are you coming from?

Booksy

Export your clients, products and price list to XLSX or CSV files following Booksy’s help pages and upload them to Booktago — the column layout is detected automatically.

Versum

Export your clients, products and price list to XLSX/CSV — Booktago recognizes the file layout. You can additionally transfer active vouchers and invitations (import from the "Sold vouchers" report).

Fresha

Export your clients, products and price list to XLSX/CSV following the system’s help pages. Column detection adapts to the file layout.

Calendesk

Export your clients, products and price list to XLSX/CSV following the system’s help pages. Column detection adapts to the file layout.

Bookero

Export your clients, products and price list to XLSX/CSV following the system’s help pages. Column detection adapts to the file layout.

Estetify

Export your clients, products and price list to XLSX/CSV following the system’s help pages. Column detection adapts to the file layout.

Another system / your own Excel

Any program or a plain spreadsheet — all you need is XLSX or CSV with column headers. The list of systems is the same for clients, products and services. Save your mapping as a template for next time.

Trust & security

  • Column detection runs locally inside Booktago — the file is never sent to any external service.
  • Consents: no marketing consent in the file = marketing automatically blocked.
  • Re-importing never creates duplicates: it fills in client data and updates products and services.
  • Atomic save: an error during the import means nothing went in — no "half an inventory".
  • Every import is logged in the Event log — who, when, how many rows.
  • Proven in practice on a base of 20,000 clients and a table of 3,000 products.

Switching FAQ

How long does the transfer take?

Usually a few minutes. Analyzing a file with 20,000 clients takes under a second; saving takes up to 2 minutes.

Do I need IT help?

No. You upload the file, Booktago detects the columns, you confirm. For an unusual file you adjust the mapping with a dropdown.

Can I transfer my inventory?

Yes. Inventory → Products → "Import from file": XLSX or CSV with any column layout. We load the name, EAN, SKU, brand, category, prices, VAT rate, unit, stock level and minimum stock. The stock from the file becomes the opening stock in stock movements. Sales history and earlier movements don’t carry over.

Can I transfer my service price list?

Yes. Services → "Import from file": name, category, duration, price, VAT, description, online availability, colour. Only the name and duration are required. Staff assignment to services, deposits and buffers are set up in the panel afterwards.

What about VAT rates on receipts?

Before saving you see the breakdown: how many items go to which letter of your fiscal printer. A row without a VAT rate doesn’t go through and is listed in the report — nothing gets a default letter silently.

Will importing the same file twice create duplicates?

No. Products are matched by EAN, then SKU, then name; services by name within a category; clients by their ID from the previous system, then by phone number. A match updates (for clients it only fills empty fields), no match adds. One exception: a client with only an e-mail in the file (no ID, no phone) is added again.

Which systems?

Versum, Booksy, Fresha, Calendesk, Bookero, Estetify — or any other program you can export XLSX or CSV from. The list is the same for clients, products and services.

Will visits and history transfer?

No — we transfer clients, products and services (plus active vouchers and invitations from Versum). Visit history, payments, sales history and stock movement history stay in the old system.

What about GDPR consents?

Marketing consents carry over from the file; if a client had no consent, Booktago automatically blocks marketing to them.

Is my data safe?

The file is processed entirely inside Booktago and is never sent or stored anywhere outside your account.

I have an old XLS file — what now?

Open it in Excel and save it as XLSX. The wizard will tell you the same.

Clients, inventory and price list — ready to move.
